How a Sale Gets Tied to a Post
Ellipsend can show you the revenue, bookings, and qualified contacts that came from each post, story, or ad. Four things have to line up for that to work.
The contact is in a campaign. An automation puts them there with its Set Campaign Stage action, or someone on your team does it in the inbox.
Your link goes out as a button. Ellipsend adds a tracking token to every link sent as a button.
Something happens. They book a call, buy, or register.
An activity gets logged. Your team logs it in the inbox, or a connected tool sends it in using the token.
The activity is then credited to the post, story, or ad the contact came from, as part of the campaign it belongs to. Every account starts with a default campaign, so there's nothing to build first. To adjust its stages and activities, see Pipelines and Activities in the Settings guide.
Button Links
Only links sent as buttons are tracked. A link pasted into a message as plain text goes out without the token, so nothing that happens after the click can be tied back. Plain links are also the most common reason Instagram stops an account from sending links.
You never add the token yourself. Send the link as a button and Ellipsend adds it on the way out.
In an Automation
Keep Set Campaign Stage above the message that sends the link. Every new automation starts with it as the first action, so leave it there.
Send the link with a Message + Button action, with the button type set to URL. A Gallery works too.
The order is what lets Ellipsend track a purchase, or any other activity, that comes from a link the automation sends. If the link goes out first, the click can't be tied to your campaign.
In the Inbox
Open the conversation and check that the contact is in a campaign and a stage. If they aren't, move them into one with the Stages dropdown at the top right of the inbox.
Click the + next to the message box and choose Link.
In the Add Link Button window, fill in Web Address and Button Text. Message (optional) adds text above the button.
Click Insert, then send the message.
For a link you send often, save it as a Saved Response with the Button Message type and send it by typing / and its shortcut. See Saved Responses.
The Tracking Token
The tracking token is a long string of text that Ellipsend adds to your link as a URL parameter. It carries what Ellipsend needs to match an activity to the contact, the campaign, the automation, and the post it came from.
By default the parameter is utm_term. If your plan includes the API, you can change it under Settings → Integrations → API, in the URL Parameter field under Ellipsend Tracking Token. Choose a parameter your tools support and your marketing team isn't already using. Any other parameters on your link are left alone.
The campaign is part of the token. That's why, inside an automation, Set Campaign Stage has to come before the message with the link. If the link is sent first, its token has no campaign in it. A purchase or other activity sent in with that token fails, and the error shows in the Api Log.
Logging a Sale
A sale, a booking, or any other result is recorded as an activity. Activities are what Reports count, and their money fields are where every revenue number comes from. Stages and Activities Are What the Reports Count explains how that works.
By Hand
Whoever is working the conversation moves the contact into the right stage in the inbox. The activity mapped to that stage opens in a window. Fill in its fields, including the Received and Expected amounts for a purchase, and save. If a stage has more than one activity mapped to it, pick the right one from the dropdown first.
Automatically
Once a tool is connected, bookings and purchases can log themselves. When an activity comes in this way, the contact also moves into the stage that activity is mapped to. What you can connect depends on your plan.
Calendly, on every plan. Connect it from the Calendly tile under Settings → Integrations.
GoHighLevel, on Pro and above. Follow How to Track Conversions from GoHighLevel in Ellipsend with Activities.
Zapier and the API, on Pro+ and Premium. Ellipsend has an app in Zapier that you connect with your API token from Settings → Integrations → API. Add a step to your Zap that adds the activity to the contact, and pass it the tracking token from the record that triggered the Zap. The video at the top has a chapter on this.
When the Sale Comes Later
A purchase after a sales call doesn't come from a fresh click, so there's no token on it. Save the token the first time the contact converts, then reuse it.
When someone books a call, write the token to a custom field on the Opportunity or Deal in your CRM and send the booking to Ellipsend in the same step. Later, when that Opportunity is marked won, send the purchase with the saved token.
Save it on the Opportunity or Deal instead of the contact. A contact can be in more than one campaign, and this keeps one campaign's token from overwriting another's.
When Something Doesn't Track
In an automation, the link is sent before Set Campaign Stage. Open the automation and move Set Campaign Stage above the message with the link. This only affects tracking purchases and other activities from links that automation sends.
The link was plain text. Send it as a button.
The activity isn't mapped to a stage. Go to Settings → Campaigns → Pipelines, click Edit on the stage, and select the activity. See Mapping Activities to Stages.
You're not sure whether the activity arrived. Open Settings → Integrations → API and look at the Api Log. Each request from your other tools is listed with its status.
It only just happened. Reports refresh about every 15 minutes.
Frequently Asked Questions
My contact says they don't see a button. Why?
Instagram shows buttons in its mobile app. On a computer, the button may not appear. Ask them to open the message on their phone.
Why doesn't my button link show a preview image?
Button links don't show a link preview. To send an image with a button, add one under Image (optional) in the Add Link Button window.
Can an automation log an activity when it moves someone into a stage?
No. When an automation moves a contact into a stage, the activity mapped to that stage isn't logged. Activities are logged when someone on your team makes the move in the inbox, or when a connected tool sends one in.
A booked call or purchase is missing from Reports. What should I check?
Start with Why is a booked call or purchase missing from Reports? in the Reports guide.
